Please excuse lack of knowledge this is all new for me. How do I know when the controller is in need for a firmware update and how do I do it?

Hi Sean1,
To update the firmware, we need the Automation Device Maintenance Software, and the firmware package will come with the EAE setup file. Please refer to the attached document for the reference to upgrade firmware .

Hi Sean1 and welcome.
Firmware update is only required with a new version of EAE (Ecostruxure Automation Expert). All controllers in your distributed system have to be at same firmware level i.e. must be compatible with the version of you EAE built time (the engineering tool) installed on your PC to build and deploy your EAE solution.
